1. Complete Expression of interest form
If you are a first time applicant or are unsure if your project will fit the Landfill Communities funding, you must complete an expression of interest form.
2. Notification of decision
Your Project Liaison officer will inform you if your project can proceed to application.If not they will give you guidance on what elements of your application do not meet the recommended criteria.
3. Complete application form
Your application should be completed in FULL.One electronic copy and one signed hard copy of your application form and relevant object category form should be enclosed.
If your application has not been completed in line with the guidance provided, is not fully complete or cannot be read, it will be returned to you and will not be processed further until it is submitted fully complete.
4. Application Acknowledged
Once your application is received the Ulster Wildlife Trust will acknowledge this in writing. The acknowledgement will detail when your project is to be assessed.
5. Application processed
The Ulster Wildlife Trust’s administration department will then process your application.
During the processing stage, further information may be requested and an Ulster Wildlife Trust Project Liaison officer may request a visit to discuss your project with you.
6. Notification of decision
The relevant Project Administrator will notify you of the Ulster Wildlife Trusts decision if your application can proceed to registration.
If your project is deferred, you will be required to satisfy the deferral reasons stated in order for your project to progress further.
If your project is declined, the Ulster Wildlife Trust will notify you and your project goes no further in the process. If your project is approved, please see below.
7. ENTRUST Approval
If your application is successful, the Ulster Wildlife Trust will apply for your project to be registered with ENTRUST the Scheme’s regulator.
If ENTRUST require any further information you have a maximum of 3 months to provide this information before the project is withdrawn
Note:If you start your project before the Ulster Wildlife Trust receives ENTRUST registration, your project will be deemed INELIGIBLE and will be automatically rejected.
8. Formal contract and grant information issued
Following a successful registration, and providing the Ulster Wildlife Trust has all of the project information it needs, a formal contract will be issued to you.
The formal contract must be signed and returned to the Ulster Wildlife Trust within 21 days of receipt.
A Grant Information manual will be distributed to you which will explain the process from the contract stage to project completion.
Please note: Only once the formal contract has been signed and returned may you start your project.
9. Submitting grant claims
Claims must be submitted in accordance with the guidelines outlined in the grant information manual.All claims must be supported by original invoices, original bank statements and a progress report.Original documents will be returned to the applicant.
Tender documentation is required for grant claims over £2,000 and details of this are outlined in the grant information manual
10. Project Monitoring
The Ulster Wildlife Trust is committed to supporting your project and will keep in regular contact via telephone and through interim site visits.
If you are only submitting one claim you must submit a progress report to the Ulster Wildlife Trust midway through completion of your project
11. Project Closure
Your final claim must be accompanied by a project completion report. The Ulster Wildlife Trust may arrange a final site visit to the project.
Post Project Completion Monitoring will also be undertaken to ensure project sustainability.
